Clerical Assistant (Grade 10)

Nature and Purpose

The Clerical Assistant  is a staff member of the Cooperative Extension Service, University of Arkansas.  The Clerical Assistant  position involves receiving training, accepting job assignments, and providing secretarial assistance to staff members assigned to the office.

Major Duties and Responsibilities

• Answers telephone, greets and directs visitors, refers callers, takes and delivers messages accurately, and assists clientele.

• Opens and distributes incoming mail and processes outgoing mail.

• Types letters, memos, and reports.

• Duplicates and assembles materials; prepares materials for mailing.

• Files materials as required.

• Assembles data and prepares expense accounts.

• Performs miscellaneous clerical tasks.  

• Performs other duties as assigned.

Relationships

• Works under the supervision of a County Extension Agent - Staff Chairman and work leadership of the Administrative Office Supervisor or other designated person, who reviews work for accuracy and adherence to established policies and procedures.  

• Establishes and maintains effective working relationships with superiors and associates.

Qualifications

Education and Experience

• High school graduate (equivalency certificate accepted)  

• One year of experience or specialized training in the clerical or secretarial field.

Knowledge, Skills, and Abilities

• Ability to type.  

• Ability to learn assigned tasks readily and to follow prescribed routines and procedures.
