Administrative Assistant II (Grade 17)

Nature and Purpose

The Administrative Assistant II is a staff member of the Cooperative Extension Service, University of Arkansas.  The Administrative Assistant II position is a complex and highly responsible position involving the planning, performance, and supervision of various office management functions in the Administration Office.

Major Duties and Responsibilities

• Answers telephone calls, greets visitors, plans appointment schedules and makes travel arrangements.

• Processes and prioritizes incoming mail and maintains pending file of material requiring response.

• Reads incoming correspondence and gathers data to facilitate management response.

• Answers letters and general correspondence frequently without instruction or review.

• Researches, prepares and distributes reports of office activities and operations; summarizes findings.

• Reads documents and reports and summarizes information for management review.

• Assists in the management and operation of the office, including initiating routine projects and expediting special projects.

• Maintains knowledge of appropriate Extension policies, rules, and procedures.

• Interprets and explains policies, programs, and services in  response to internal and external inquiries.

• Maintains highly confidential records, including budgets, strategic plans, personnel data, and salary information for an administrative office.

• Takes, transcribes, checks, and proofreads complex dictation.

• Utilizes document processing and electronic mail functions of minicomputer; proficient in the use of standard office equipment.

• Provides on-the-job training for new personnel regarding policy, procedures and equipment.

• Assists staff and clientele in securing information.  

• Performs other duties as assigned.

Relationships

• Works under the immediate supervision of an Associate Director.  

• Establishes and maintains effective working relationships with superiors and associates, and favorably represents Extension in contacts with the general public.

Qualifications

Education and Experience

• High school graduate (equivalency certificate accepted).

• One year of specialized training in the secretarial or business field (experience may be substituted for specialized training).  

• Five years of secretarial or business management experience, preferably with Cooperative Extension Service.

Knowledge, Skills, and Abilities

• Composite Score of 60 on either the Word Perfect basic or intermediate portion of Word Perfect 8.0 evaluation and speed typing evaluation.

• Ability to attain a 75% on the language skills evaluation.

• Ability to exercise initiative, make sound judgments, be discreet, and assume responsibility.

• Ability to maintain accurate records as appropriate and maintain their confidentiality.

• Ability to plan, organize, and prioritize work.

• Ability to operate standard office equipment.

• Ability to work with a minimum of supervision.  

• Ability to communicate effectively with superiors, associates and clientele.
