Secretary I (Grade 11)

Nature and Purpose
The Secretary I is a staff member of the Cooperative Extension Service, University of
Arkansas.
The Secretary I position involves performing routine secretarial and clerical tasks,
including typing for faculty in a program/administrative unit or a county Extension
office. (Major typing services may be provided by word processing center.)
Major Duties and Responsibilities
• Reads incoming correspondence, gathers files and other pertinent data to facilitate
answering correspondence, and composes routine responses.
•
Answers telephone, screens calls, and provides information for routine questions but
refers to specialists or agents for technical information.
•
Assists faculty with preparations for meetings, workshops, and youth activities.
•
Maintains appointment calendar, sees that travel and hotel reservations are made, and
keeps supervisor aware of scheduled meetings.
•
Types monthly expense accounts and weekly itineraries, and assembles data for other
reports.
•
Performs minor administrative duties including gathering data and preparing statistical
reports.
•
Operates various office equipment such as electronic typewriter, photocopier, ten-key
calculator, and postage meter.
•
Utilizes microcomputer, loads prescribed programs, and enters required data.
•
Edits and proofreads all materials including copy typed in word processing center.
•
Files correspondence and reports.
•
Provides secretarial services to faculty members as
assigned.
•
Performs other duties as assigned.
Relationships
•
Works under the supervision of a County Extension Agent - Staff Chairman or a unit
supervisor.
•
May receive work leadership from Administrative Support Supervisor or Secretary II.
•
Establishes and maintains effective working relationships with supervisors and
associates, and favorably represents Extension in contacts with the general public.
Qualifications
Education and Experience
•
High school graduate (equivalency certificate accepted).
•
One year of experience or specialized training in the clerical or secretarial field;
plus one year of clerical experience. Knowledge, Skills, and
Abilities
•
Ability to attain a 75% on the language skills evaluation.
•
Ability to learn assigned tasks readily and to follow prescribed Extension routines and
procedures.
•
Ability to exercise initiative and good judgment.
•
Ability to work without close supervision.
•
Ability to communicate effectively with superiors, associates, and clientele.
