Communications Assistant Coordinator

Nature and Purpose
The Communications Assistant Coordinator is a staff member of the Cooperative Extension
Service, University of Arkansas.
The Communications Assistant Coordinator is a position that involves supervision of the
four Communications Assistants in publications production and development.
Major Duties and Responsibilities
• Supervises four Communications Assistants.
•
Places copy in publications of approximately 5 pages or longer, which are bound or
require special design and layout, following design specifications.
•
Designs publications, templates and other printed material.
•
Assists in designing mast heads.
•
Converts information to an electronic format and transfers templates to the web site for
electronic delivery.
•
Maintains files, electronic and/or hard copy of publications.
•
Scans in photographs and art for use in publications.
•
Places photographs and art in publications.
•
Edits and proofreads material for publications.
•
Works as a member of the publications team.
•
Keeps records of the flow of publications.
•
Works with the print media center to assure the production and quality of printed
material.
•
Meets publication deadlines.
•
Maintains working knowledge of the various desktop publishing hardware and software
necessary to the job.
•
Receives work for the communications publications.
•
Confers with authors about new jobs being submitted for publications; takes information
on the phone regarding publications and other print material.
Relationships
•
Works under the supervision of the Director of Communications and Marketing.
•
Works closely with Communications specialists responsible for publication layout and
design.
•
Establishes and maintains effective working relationships with superiors and associates.
Qualifications
Education and Experience
•
High school graduate (Equivalency certificate accepted).
•
Three years of Extension communications assistant experience.
Knowledge, Skills and
Abilities
•
Ability to use computer hardware and software in desktop publishing.
•
Ability to apply basic AP style in writing and editing.
•
Ability to assist staff with written communications.
•
Ability to maintain confidentiality of information.
•
Ability to make sound judgments, be discreet and assume responsibility.
•
Strong command of grammar usage in written form.
•
Ability to make recommended scores on employment testing conducted for secretarial
positions within the Cooperative Extension Service.
•
Ability to juggle multiple tasks and work with a variety of personalities in order to
meet multiple project deadlines.
