Nature and Purpose

The 4-H Events Coordinator is a 4-H faculty member of the Cooperative Extension Service, University of Arkansas.

The 4-H Events Coordinator provides support for 4-H program specialists and other specialists responsible for planning and conducting 4-H events and activities.

Major Duties and Responsibilities

• Obtains information from faculty assigned to conduct 4-H events, trips, workshops, and/or competitive activities for annual publication of 4-H Events Packet.

• Serves as a liaison between 4-H faculty and county faculty concerning events and activities.

• Coordinates facilities, costs, payment of expenses, registration, and publicity for 4-H events, trips, and competitive activities and workshops as assigned.

• Maintains a database on the costs of various activities planned.

• Schedules facilities for 4-H trips and events assigned.

• Develops the agenda for 4-H events with specialist assigned.

• Prepares correspondence to counties regarding events and activities.

• Maintains registration for events and activities as assigned.

• Maintains a data file on attendance of district and state 4-H events and activities.

• Keeps 4-H faculty informed of planning processes and requests assistance as needed.

• Coordinates with the Communications Department for printing of programs and other promotional materials.

• Assists specialists in developing budgets for events and activities and assists in monitoring of spending as necessary to stay within the budget as planned.

• Purchases supplies and arranges for equipment for activities and events as needed.

• Prepares reports of events and activities as needed.  

• Provides liaison with the Business Office, the C. A. Vines Arkansas 4-H , district faculty, state program leaders, and the associate director - family, youth and 4-H education as necessary in conducting 4-H events and activities.

Relationships

• Works under the supervision of the Associate Director - Family, Youth and 4-H Education.

• Coordinates with the appropriate department head or faculty member in the Dale Bumpers College of Agriculture, Food and Life Sciences, other faculty, and other sources as needed. Cooperates with district directors and associate district directors in planning and coordinating 4-H events and activities at the district level.

• Coordinates with the C. A. Vines Arkansas 4-H for the use of facilities as needed.

Qualifications

Education and Experience

• High school diploma required. Bachelor's degree in an appropriate field desirable.

• Experience in organization and coordination of events, activities, or trips.

• Work experience in youth development or other appropriate field preferred.

Knowledge, Skills, and Abilities

• High level of organizational ability.

• Ability to work on numerous projects at one time.

• Computer skills in word processing, data management, etc.

• Ability to work effectively with a variety of professional and lay publics within and outside the Cooperative Extension Service.

• Ability to anticipate and adapt to changing programs.

• Physical and mental ability to effectively perform duties and responsibilities related to the job, including long and irregular hours of work.
