Sick Leave

Summary: Establishes policies and procedures concerning sick leave for all Extension employees.

Eligibility for leave is determined by the percentage of time the employee is assigned to work. No sick leave is earned when leave without pay totals 80 or more hours within a calendar month. Sick leave must be earned before taken. Sick leave may be taken and reported in increments of one-quarter hour. If an employee takes 3 or more consecutive days of sick leave, the supervisor must notify the Benefits Manager who will determine if Family Medical Leave is applicable.  Upon return to work after five or more consecutive days of sick leave, a classified employee is required to furnish the supervisor a certificate from an attending physician.

I.    Regular Appointed Employees

• Sick leave is earned at the rate of 12 days per calendar year. This translates to 96 hours per year or 8 hours per month. Sick leave is cumulative up to a maximum of 960 hours (120 days). If your employment is terminated, you are not entitled to be paid for accrued sick leave. However, if you are laid off and within six months again become an Extension employee, accrued sick leave may be restored.

• Faculty members participating in the Federal Civil Service Retirement System may accumulate sick leave indefinitely.

II.    Hourly Employees

Appointed hourly employees who work more than 1,000 hours per calendar year accrue sick leave in the same proportion as the time worked. For example: Employees who work (50 percent) earn 6 days (48 hours) of sick leave per year or 4 hours per month.

III.    Temporary Employees

Employees working, less than 1500 hours, are considered temporary and will not earn sick leave.

IV.    Use of Sick Leave

• Sick leave may be taken for the following:

  1. Illness or injury of the employee or an immediate family member which prevents the employee from working and for medical, dental, or optical treatment.

  1. Sick leave may also be granted employees due to a death or serious illness of a member of the employee's immediate family. Immediate family is defined as husband, wife, child, parent, brother, sister, mother - in - law, father - in - law, brother - in - law, sister - in - law, son - in - law, daughter - in - law, grandparents, grandchildren, or any individual acting as parent or guardian of an employee.

• Sick leave is granted on the basis of workdays and not calendar days. Non - workdays, such as weekends and holidays falling within a period of sick leave, are not charged as sick leave.

Leave without pay is not available at the employee's discretion.  It is available through the Family Medical Leave Act.  In unusual medical emergencies, limited leave without pay may be approved by the Associate Vice President for Agriculture - Extension.

Payroll charges absence due to illness or disability  in the following order except when used in connection with maternity leave (See policy C.E.S.P. 7 - 13):

  1. Earned Sick Leave
  2. Earned Annual Leave
  3. Leave Without Pay

• Restrictions for the Use of Sick Leave

  1. Sick leave may not be used as annual leave and to do so is grounds for dismissal.
  2. Only the amount of sick leave necessary may be taken for a doctor's appointment.

VI    Requesting and Reporting Sick Leave Used

• Sick leave may be taken and reported in increments of one-quarter hour.

• All Extension employees requesting sick leave should submit form E.B.E.N. - 327, Request for Leave in advance of leave taken. This form is approved by the supervisor.

• All monthly payrolled employees and classified hourly employees should report leave taken on Banner-Electronic Approvals of Time Entry Form.

VII    Lump Sum Payments Upon Retirement or Death

Effective July 1, 2005, classified employees who have accrued a minimum of 50 days of sick leave will be compensated upon retirement or in the event of death the payment will be made to the beneficiary or estate (not to exceed $7,500).  The amount of compensation will vary depending upon the number of sick days accrued.  Compensation will be based on the employee’s daily salary which will be determined by dividing the annual salary by 260.

60 – 69

60% of the number of sick days (rounded to nearest day) times 60% of employee’s daily salary

70 – 79

70% of the number of sick days (rounded to the nearest day) times 70% of employee’s daily salary

80 or more days

80% of the number of sick days (rounded to the nearest day) times 80% of the employee’s daily salary
