Work Week and Office Hours

Policy Number: C.E.S.P. 4-1
Date Revised: 9-23-2011
Supersedes: 11-12-2003

Summary:  Establishes work week and office hours for Extension personnel.

For payroll purposes, the official work week begins at 12:01 a.m. on Sunday and ends at midnight on Saturday. However, normal office hours for employees in classified positions are Monday through Friday from 8:00 a.m. to 4:30 p.m. with a 30 minute lunch period, generally from 12:00 noon to 12:30 p.m. Any difference in normal hours of operation for classified employees in a particular location must be approved by Extension Administration.

Under the Fair Labor Standards Act (FLSA), non-exempt employees – generally those in classified positions at Extension – are eligible for overtime compensation when their actual hours worked exceed 40 hours in a work week. Generally, employees in classified positions are expected to be at their assigned work stations ready to begin work at 8:00 a.m. and remain until the close of duty hours except for the two authorized breaks and the 12:00 noon lunch period. However, Program Assistants are classified employees paid on an hourly basis. They may be authorized to work on Saturday if total compensable time for the week does not exceed 40 hours. Sunday work is not authorized for Program Assistants.

Employees in classified positions are authorized two breaks of 15 minutes each working day, one in the morning and one in the afternoon. Unlike the lunch period, which is an employee’s unpaid personal time, breaks are part of the paid working day. Time taken in excess of the two 15-minute breaks must be approved in advance and documented in writing by the supervisor.

Non-classified employees are exempt salaried employees who don't work by the clock and are not subject to the overtime provisions of FLSA. The assigned responsibilities of non-classified employees may require them to be away from the office during normal office hours and/or involved in Extension activities or business beyond the normal work day. Some assignments may result in variable schedules that regularly include evening and weekend work. Alteration in scheduling assignments for non-classified employees may be approved at the discretion of the supervisor.

Note for all Extension employees: The lunch period may not be substituted for leave time, and authorized break periods may not be substituted for leave time or added to the lunch time to create a longer lunch period.
